Privacy Policy
Nomad Tech Repairs ("we", "us") is a device repair shop in Ontario, Canada, and the maker of Nomad Repairs, software that other repair shops use to run their business. This policy explains what personal information we collect, why, and what we do with it. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Who this covers
- Our repair customers: people who bring a device to Nomad Tech Repairs or ask for a quote on this website.
- Shops that use Nomad Repairs: the owners and staff who sign up and log in.
- Customers of those shops: when a shop uses Nomad Repairs, the shop decides what it records about its own customers. The shop is responsible for that information; we store and process it for them and use it for nothing else.
What we collect
- Contact details: name, phone number and email, when you ask for a quote, drop off a repair, or sign up.
- Repair details: the device, what's wrong, notes, photos of the device, parts used, estimates, invoices and payments.
- Device passcodes, only if you choose to give one so the repair can be tested. They are stored encrypted and deleted when the repair is picked up.
- Texts and emails sent to or from the shop about your repair.
- Account and billing details for shops: login email, a securely hashed password, plan and subscription status. Card payments are handled by Stripe; we never see or store full card numbers.
- Basic technical logs such as the time of a request, error messages and IP addresses, used to keep the service running and secure. IP addresses used to stop spam sign-ups are only kept briefly.
How we use it
To repair your device and keep you updated, to send estimates, invoices and receipts, to answer questions, to run and support Nomad Repairs for the shops that use it, to bill shops for paid plans, and to meet our legal and tax obligations. We don't sell personal information, and we don't use it for advertising.
Who we share it with
Only the service providers that make the service work, and only what they need:
- Render hosts the app and its database.
- Stripe processes subscription payments.
- Twilio delivers text messages, when a shop turns texting on.
- Backblaze stores our nightly backups, locked with encryption before they leave our server.
- Sentry tells us when the app hits an error. We set it up so names, phone numbers, emails and passcodes are left out of those reports.
- Google Analytics counts visits to this website and the Nomad Repairs sign-up page, only if you say yes to analytics cookies. See Analytics cookies below.
- Email providers (such as Google or Microsoft) send emails and, when a shop connects its mailbox, read supplier order emails.
We may also disclose information when the law requires it.
Analytics cookies
We use Google Analytics to see how many people visit this website, which pages they read, and how many shops sign up for Nomad Repairs. It's off until you tap Accept on the question at the bottom of the page. If you tap No thanks, or never answer, nothing from Google loads and no analytics cookie is set.
- Where it runs. Only on this public website and the Nomad Repairs sign-up page. Never inside the shop app once you're logged in, and never on the pages shops send their customers (repair trackers, estimates, invoices, payment and signing pages, the counter tablet or the TV board).
- What Google gets. The page address without anything after a "?" or "#", the page title, your browser and device type, a rough location from your IP address, and a random ID stored in Google's
_gacookies (kept for up to two years). On the sign-up page we also record that an account was made. We never send names, emails, phone numbers, repair details or the contents of any form. - No advertising. Google's advertising features and Google signals are turned off.
- Changing your mind. Use Cookie choices (also in the footer of every page) to change your answer at any time. Saying no later stops Google Analytics and removes its cookies from this site. The sign-up page asks separately, because it's on the app's own address.
Where it's stored
Our hosting and some of our service providers are in the United States, so your information may be stored or processed there and may be accessible to authorities under the laws of that country.
How long we keep it
Repair and invoice records are kept as long as needed for warranty, service history and tax records (generally at least six years for invoices, as the Canada Revenue Agency requires). Device passcodes are deleted at pickup. A shop owner can export the shop's data at any time, and can delete the shop from Settings. Deleting a shop is permanent: its records and backup copies are removed right away, its subscription is cancelled and its texting number is released. Billing records that Stripe keeps for tax purposes stay with Stripe.
Keeping it safe
Connections are encrypted, passwords are hashed, passcodes and stored service credentials are encrypted, each shop's data is kept separate from every other shop's, and access is limited to people who need it. If a breach ever puts your information at real risk, we'll tell you and the Office of the Privacy Commissioner of Canada as PIPEDA requires.
The owner of Nomad Tech Repairs is responsible for privacy here and answers privacy questions personally.
Your choices and rights
You can ask to see the personal information we hold about you, ask us to correct it, or withdraw consent (for example, to stop texts by replying STOP). If you're a customer of another shop that uses Nomad Repairs, contact that shop first; we'll help them answer you. If you're not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.
If you're outside Canada
Nomad Repairs is also used by shops in the United States, the United Kingdom, Ireland, Australia and New Zealand. Wherever you are:
- Who's responsible. For a shop's records about its own customers, the shop decides what's collected and why (in UK and EU terms it's the controller), and we process that information only on the shop's instructions to provide the service (the processor). For shop owners' and staff's own account details, and for our own repair customers, we're responsible.
- Why we use it. To provide the service you signed up for (the contract), to keep it secure and improve it (our legitimate interests), and to meet legal and tax obligations.
- Your rights. You can ask to see, correct, delete, restrict or get a copy of your information, or object to how it's used. In the UK you can complain to the Information Commissioner's Office, in the EU to your local data protection authority, in Australia to the Office of the Australian Information Commissioner, and in New Zealand to the Privacy Commissioner. California and other US state residents: we don't sell or share personal information for advertising, and we'll answer access and deletion requests.
- Transfers. Information is stored in the United States by our hosting provider, and our service providers may process it in other countries. We rely on their contractual safeguards, such as standard contractual clauses, for those transfers.
